FinChamps B.V. (referred to as “FinChamps”, “we” or “us”) is responsible for processing personal data as described in this privacy policy. Our registered address is Bomkade 21, 3311 JD Dordrecht, the Netherlands. Chamber of Commerce number: 77925165.

2. What information do we collect?

We collect personal data in the following situations:

• Contact form or demo request: your name, organisation, role, email address, telephone number and any additional information you provide.
• Use of CaseControl: data entered into the application by clients is processed on the client’s instructions. In this situation, FinChamps acts as a data processor.
• Website analytics: anonymised visitor data, if analytics has been configured.

3. How do we use your information?

• To respond to a demo request or contact enquiry
• To arrange and provide a CaseControl demonstration
• To send relevant information about CaseControl, only with your consent
• To comply with legal obligations

4. Legal basis for processing

We process personal data on the following legal bases:

• Consent: when you submit a form through our website
• Legitimate interests: to follow up on business enquiries
• Contract: in connection with providing CaseControl

5. Retention periods

We do not retain personal data for longer than is necessary for the purpose for which it was collected. Information submitted through contact forms is retained for the duration of the business relationship and for no more than seven years afterwards, in line with statutory retention requirements.

6. Sharing information with third parties

We do not share your personal data with third parties unless this is necessary to provide our services or required by law. We use Amazon Web Services (AWS) to host data on European servers. Data processing agreements are in place with all processors.

You have the right to:

• Access your personal data
• Correct inaccurate information
• Request erasure of your data (the “right to be forgotten”)
• Restrict processing
• Data portability
• Object to processing

8. Security

FinChamps takes the security of personal data seriously. We are ISO 27001 certified and use technical and organisational measures to protect your information against unauthorised access, loss and misuse.

If you have a complaint about how we process your personal data, please contact us first at info@finchamps.com. You also have the right to complain to the Dutch Data Protection Authority through autoriteitpersoonsgegevens.nl.

10. Changes to this policy
